Space Request and Release

Space is one of Rice University’s most valuable resources and must be managed carefully to support the university’s continued growth and evolving academic, research, and administrative needs.

Space allocations also have budget implications because all assignable space is subject to an associated space charge. For these reasons, requests to add or release space must be evaluated within the broader context of the university’s needs, available resources, and institutional priorities.

Use this form to:

  • Request additional space
  • Release space that is no longer needed

Before Submitting a Request

All requests to add or release space should include the following information:

1. Current Space Utilization

Provide information about how your unit's currently assigned space is being used, including:

  • The number of faculty, staff, and students using the space
  • Employee work schedules, including hybrid or remote arrangements
  • Current vacancies and approved hiring plans
  • Any other information that helps demonstrate the unit's current and anticipated space needs

2. Additional Space Requirements

For requests involving additional space, identify who will use the requested space and provide:

  • The individual's or group's job title and primary job function
  • The anticipated number of occupants
  • The reason the need cannot be accommodated within the unit's existing space
  • Any special arrangements, such as laboratory space, a private office, first-floor access, specialized equipment, or other accessibility or operational needs

3. Dean- or Vice President-Level Approval

Before submission, all requests to add or release space must be reviewed and approved at the appropriate dean's or vice president's level.
